NZAFA TERMS AND CONDITIONS OF ENTRY 

1. General

 

1.1  Entry is open to all New Zealand citizens or New Zealand residents.

1.2  Artists can enter works through the Academy website at nzafa.com.  

1.3  A separate entry form must be completed for each entry. Each artist may submit up to three entries.

1.4  Entry is by photo submission and selection.

1.5  The entry fee is $50 per entry. For NZAFA members, the entry fee is $45 per entry. The fee is non-refundable.

 

2.  Artwork

2.1  Entries may be in any visual arts discipline for wall or flat surface display.

2.2  All works are to be original, cannot infringe upon NZ copyright laws and are both the work and property of the artist entering. 

2.3  All works must have been completed within 12 months of the entry date.

2.4  Works must be completed on entry. Visible additions to a work made after being selected may cause the work to be rejected.

2.5  Works entered must not have been exhibited previously.

2.6  Works must be fit for exhibition. Surfaces must be ‘fixed’. Paint must be dry. Ephemeral or organic materials with a propensity to decay or to attract insect pests must be treated appropriately.

2.7  Works must be within reasonable dimension and weight limits.

2.8  Installation instructions provided by artists will be followed as closely as practicable by gallery staff.

a)           Alternative hanging equipment (pins, magnets, etc.) must be supplied with the work and appropriate for the size and weight of the work.

b)           Inappropriate hanging systems will be replaced where practicable by gallery staff. 

2.9   Works selected for exhibition must be able to be on display as selected for the entire exhibition period.

2.10   All works are to be for sale unless prior agreement to NFS is given.

 

3.  Entry Information

3.1  Entry to an exhibition must be made before the closing date for entries for that exhibition. Late entries cannot be accepted.

3.2  Entry must be made on the entry form and accompanied by the correct entry fee.

3.3  Artists must submit 1 - 2 images of each artwork entered. Images to be:

a)  High resolution in JPEG file format 1-3 MB, no smaller than 800x600px.

b)  True and accurate representations of the artwork entered.

3.4   One image must show the work in its entirety.

3.5   Images will be used in the selection process.

3.6   Images will be used in the catalogue and promotional publicity. 

3.7   Please submit an artist statement of up to of 100 words about each work.

a)  Statements may be used in selection of works.

b)  Statements will be included in the exhibition. 

3.8   Links to additional information about the artist should be provided if available and may be included in the exhibition.

3.9   Selected works will be inspected on receipt:

a)  For any damage or flaws.

b)  To ensure that entry criteria are met.

 

4. Labelling of selected works

4.1 Each selected work must have attached a work label containing the Entry ID number, artist’s name, contact details, work title and price on a swing tag able to be viewed from the front of the work.

4.2 Selected works must have a return address attached. Works that require return couriering must have a return ticket attached. 

 

5.  Packing, delivery and return of artwork

5.1 Entrants are responsible for delivery of selected works and collection of unsold works following the closure of the exhibition.

5.2 Freight is the responsibility of the artist. 

5.3 Gallery staff will repack artworks in original packaging where possible and arrange dispatch of artworks. 

5.4 The return courier ticket will be returned to the artist if a work is sold.

5.5 Delivery Times

a)  Courier Deliveries: Works are to arrive between 14 days and 7 days prior to the exhibition opening.

b)  Personal Deliveries - To the gallery between 11 am and 4 pm between 14 days and 7 days prior to the exhibition opening.

c)   Physical delivery address:
Academy Galleries, 1 Queens Wharf,
Wellington 6011,
(entrance via Lady Elizabeth Lane will have bollard lowered only during 11 am – 4 pm on last Sunday prior to the exhibition opening).

d)  All works must be received by 5 days prior to the exhibition opening.

5.6 Return Times

a)  Courier Return of works: Dispatch will commence from week following close of the exhibition.

b)  Personal Collection of works:  May commence 3 days following the close of the exhibition.

c)   Collection by third party: Must be authorised in writing prior to any attempt to uplift the work.

 

6.  Insurance and security

6.1 All works are loaned on consignment to NZAFA and are covered by the Academy Galleries Insurance Policy for unforeseen damage or loss while on the premises. Artists should insure works while in transit.

6.2 Surveillance cameras are in operation throughout the galleries during the exhibition.

 

7.  Health and safety considerations

7.1 Any work received that is considered to pose a health or safety risk to Gallery staff will be rejected. 

7.2 Any selected work with electrical components must be tested and tagged with safety certificate.

7.3 Any selected work with electrical components such as video players or display units must be supplied with full and clear installation and operation instructions or be installed by the artist.

 

8.  Selection and judging process

8.1 All entered works will be subject to selection based on the digital images and statements provided. The selection judges will choose the works on merit. Each selector will score entries independently. Collated scores determine which works are selected for exhibition. 

8.2 The outcome of the selection process will be published on the website within three weeks of the closing date for entries.

8.3 Judging of the President’s and Curator’s Awards and any Merit Awards will be carried out following the installation of selected works. 

8.4 Award winners may be notified by phone before the opening night and will be encouraged to attend to receive their award.

 

9.  Sale of artworks

9.1  All works are for sale unless expressly agreed by the Academy. 

9.2  Minimum price for works is $600 unless expressly agreed by the Academy.

9.3  NZAFA will charge 33.33% commission on the sale price of works by NZAFA members.

9.4  NZAFA will charge 40% commission on the sale price of works by non-members.

9.5  The commission includes GST.

9.6  Artists will be notified of sales.

9.7  Payments to artists will be processed after the exhibition closes and paid by the 20th of the following month.

 

10. Media and publicity

10.1   The Academy Galleries may use images provided by entrants (with credit/attribution) in exhibition publicity.

10.2   Additional images of works may be taken in the gallery space and used in print or on digital sites or social media (with credit/attribution).

10.3   Award winners may be contacted for media purposes to provide additional material such as statements or imagery.

 

11. Exhibition

11.1   Selected works will be displayed in the Academy Galleries for the duration of the exhibition.

11.2   Exception may be made at the discretion of the Academy staff where a work is sold to an overseas purchaser who wishes to take the work with them immediately.

 

12.  NZAFA responsibilities

12.1   Force majeure: NZAFA will not be liable under any circumstance for any loss or potential loss arising from any event, action or decision beyond the control of NZAFA that affects the awards or opening event or exhibition.

12.2   Storage of uncollected works: Works will be held by the Academy free of charge for up to four weeks following the close of the exhibition. A fee of $10 per week for storage will then be applied. Works remaining uncollected after three months will be deemed to have been donated to the Academy and may be sold by the Academy.
