Academy Prize: Entry terms and conditions
1. General
1.1 Entry is open to all New Zealand citizens or New Zealand residents.
1.2 Artists can enter works through the Academy website at nzafa.com.
1.3 Each artist may submit up to three entries.
1.4 A separate entry form must be completed for each entry.
1.5 Entered works meeting the terms and conditions will be exhibited.
1.6 The entry fee is $75 per entry for non-members of NZAFA.
1.7 For NZAFA members, the entry fee is $60 per entry.
1.8 The entry fee is non-refundable.
2. Artwork
2.1 Entries may be in any visual arts discipline.
2.2 All works are to be original, cannot infringe upon NZ copyright laws and are both the work and property of the artist entering.
2.3 All works must have been completed within 12 months of the entry date.
2.4 Works must be completed on entry. Visible additions to a work made after being entered may cause the work to be rejected.
2.5 Works entered must not have been exhibited previously in public.
2.6 Works must be fit for exhibition and for hanging by any prospective purchaser. For the avoidance of doubt:
a) Surfaces must be ‘fixed’.
b) Paint must be dry.
c) Ephemeral or organic materials with a propensity to decay or to attract insect pests must be treated appropriately.
2.7 Works must be within dimension and weight limits where these are specified.
2.8 Installation instructions provided by artists will be followed as closely as practicable by installers.
2.9 Properly attached D-rings with picture cord is the preferred hanging system. Inappropriate hanging systems will be replaced where practicable.
2.10 Alternative hanging equipment (pins, magnets, etc.) must be supplied with the work and must be appropriate for the size and weight of the work.
2.11 Works must be able to be on display as entered for the entire exhibition.
2.12 All works are to be for sale unless prior agreement to NFS is given.
2.13 Works found to be of objectionable nature or in breach of reasonable standards of public decency or likely to create a nuisance will not be included in the exhibition.
3. Entry Information
3.1 Entry must be made before the closing date for entries.
3.2 Entry must be made on the entry form and accompanied by the correct entry fee.
3.3 Artists must submit one photographic image of each artwork entered.
3.4 Images must be in JPEG file format, between 1 MB and 3 MB, and no smaller than 800x600 pixels.
3.5 Images must be labelled with the artwork title as the image name.
3.6 Images must be an accurate representations of the artwork entered.
3.7 The image must show the work in its entirety.
3.8 Images should as far as possible be square to the work and not taken at an angle.
3.9 Images will be used in the finalist selection process.
3.10 Images may be used in the catalogue and promotional publicity.
3.11 Entries must include an artist statement of up to of 100 words about the art work entered.
3.12 Artist statements may be used in the selection of works.
3.13 Artist statements may be included in the exhibition or catalogue.
3.14 Links to additional information about the artist should be provided if available and may be included in the exhibition.
4. Labelling of works
4.1 Each entered work must have attached at the top-rear a work label containing the artist’s name, contact details, work title and price on a swing tag able to be viewed from the front of the work but not visible below the work when hanging behind it.
4.2 Entered works must have a return address attached on the rear. Works that require return couriering must have a return ticket attached to the rear of the work (not loose in the packaging).
4.3 The return courier ticket will be returned to the artist if a work is sold.
5. Packing, delivery and return of artwork
5.1 Entrants are responsible for delivery of entered works and collection of unsold works following the closure of the exhibition.
5.2 Freight is the responsibility of the artist.
5.3 All works must be received by the specified closing date for deliveries.
5.4 Works will be received and stored by a third party prior to installation and must be packaged sufficiently to protect the works.
5.5 Works must be addressed as follows:

5.6 Courier deliveries are to arrive before the advertised closing date for deliveries.
5.7 Personal deliveries may be made to the address above during normal business hours.
5.8 Works will be inspected on receipt for any damage or flaws and to ensure that entry criteria are met.
5.9 Packers will repack artworks in original packaging where possible and arrange dispatch of artworks.
5.10 Return of unsold works will commence from one week following the close of the exhibition.
5.11 Personal collection of works may commence 5 days following the close of the exhibition.
5.12 Collection by a third party must be authorised in writing prior to any attempt to uplift the work.
6. Insurance and security
6.1 All works are loaned on consignment to NZAFA and are covered by the Academy’s Insurance Policy for unforeseen damage or loss while in its possession. Artists should insure works while in transit.
7. Health and safety considerations
7.1 Any work received that is considered to pose a health or safety risk to staff will be rejected.
7.2 Any submitted work with electrical components must be tested and tagged with a safety certificate to be attached to the work.
7.3 Any submitted work with electrical components such as video players or display units must be supplied with full and clear installation and operation instructions or be installed by the artist.
7.4 Works requiring complex or bespoke lighting or installation, or regular intervention to maintain, or works too fragile or complicated to be easily mounted by a purchaser should be avoided. NZAFA reserves the right to decline any work requiring complex or bespoke lighting or installation, or regular intervention to maintain, or works that it deems too fragile or complicated for public exhibition in this venue.
8. Selection and judging process
8.1 All entered works will be subject to finalist selection based on the digital images and statements provided. Three guest selectors will each choose 25 works on their perceived merits to be finalists.
8.2 Public voting will choose 25 works from the digital images to complete the list of finalists.
8.3 Collated scores will determine which works are selected as finalists from the public vote.
8.4 The outcome of the selection process will be published on the website within three days of the closing date for public voting.
8.3 Judging will be done after the installation of the exhibition.
8.4 Award winners will be notified by email and text as soon is judging is completed and will be encouraged to attend the award ceremony to receive their award.
9. Sale of artworks
9.1 All works are for sale unless expressly agreed by NZAFA.
9.2 NZAFA will charge 30% commission on the sale price of works entered by NZAFA members.
9.3 NZAFA will charge 35% commission on the sale price of works by non-members.
9.4 The commission includes GST.
9.5 Artists will be notified of sales and asked for bank account details for payment.
9.6 Payments to artists will be processed after the exhibition closes and paid by the 20th of the following month.
10. Media and publicity
10.1 NZAFA may use images provided by entrants (with artist credit) in exhibition publicity.
10.2 Additional images of works may be taken in the exhibition and used in print or on digital sites or social media (with artist credit/attribution).
10.3 Award winners may be contacted for media purposes to provide additional material such as statements or extra imagery.
11. Exhibition
11.1 Entered works meeting the terms and conditions will be displayed for the duration of the exhibition.
11.2 Exception may be made at the discretion of NZAFA where a work is sold to an overseas purchaser who wishes to take the work immediately.
12. NZAFA responsibilities
12.1 Force majeure: NZAFA will not be liable under any circumstance for any loss or potential loss arising from any event, action or decision beyond the control of NZAFA that affects any award or opening event or exhibition.
12.2 Storage of uncollected works: Works cannot be held by NZAFA following the close of the exhibition. A fee of $10 per week for storage will be applied. Works remaining uncollected after three months will be deemed to have been donated to NZAFA and may be sold.
